Business Support Manager / Team Leader

Our Client is looking for a Business Support Manager / Team Leader, on a permanent staff basis, location in Aberdeen

As the owner of the Quality Management System the Business Support Manager will take overall accountability for developing, improving and delivering the business support function in line with ISO 9001 standards.

Along with managing the office building and providing Executive Assistant services to the Managing Director the Business Support Manager will line manage a team of HR and Legal Business Support Analysts. The Business Support Manager will ensure the Business Support Analysts deliver a high quality of work across the creation and delivery of Contracts, Contractor Management, recruitment tracking, document verification and the organisation of travel.

 

The role will involve acting as the primary interface between business functions including finance, Client Engagement Principals, Sourcing and the contractors employed to carry out work

KEY RESPONSIBILITIES

Line Management of Business Support Analysts including HR and Legal (Contracts) function



  • Quality checking work produced

  • Setting goals and targets

  • Completing yearly appraisals

  • Managing holidays and absence


Contractor Management



  • Develop and maintain regular contact with contractor population


Ensure that the company operates in line with ISO9001 standards



  • Develop existing Quality Management System

  • Ensure company policies, procedures and guidelines are followed

  • Key point of contact for Quality Audits etc.


Office Management



  • Deliver induction for new members of staff

  • Health & Safety - policies, risk assessments, First Aid, Fire Warden

  • Tracking and maintenance of office keys and fobs

  • Support coordination of office suppliers - Security, Alarm system, Landlords, Maintenance - Arrange statutory inspections, maintenance repairs, improvement works and checks for the offices


Executive support to Managing Director



  • Diary management

  • Organise travel and accommodation

EDUCATION, QUALIFICATIONS, EXPERIENCE AND KNOWLEDGE

PERSONAL QUALITIES:



  • Excellent organisational skills- ability to prioritise and multi-task to meet deadlines

  • Ability to manage and organise team workers

  • Excellent analytical and problem- solving ability

  • Ability to work with large data sets in Excel

  • Attention to detail- conducts work in a systematic way to ensure outputs are clear, concise and logical

  • Excellent communication skills, both written and oral are essential

  • Ability to communicate appropriately on all matters with all levels of the organisation

  • Understanding and championing of HR processes

  • Team player

  • Demonstrate sound work ethics and be consistent and fair

  • Ability to manage conflicting deadlines with ever changing priorities

  • Proven ability of working independently, self-starter

  • Assertive, proactive willingness to learn and progress


 KNOWLEDGE AND EXPERIENCE: 



  • Demonstrable experience within an administrative role

  • Effectively use the MS Office suite of tools (Word, Powerpoint, Excel & Sharepoint)

  • Experience gained within a fast-paced and dynamic business would be highly desirable

  • Experience of audits and quality management is desirable

  • Proven ability or strong potential to manage team in a fast paced business

  • Strong knowledge of HR and HR processes desirable


 


QUALIFICATIONS:



  • Qualified to degree level in a relevant subject or significant experience and a positive attitude
